Position Summary
The Administrative Assistant provides administrative and clerical support for Human Resources, employee programs, office operations, and front desk functions. This position assists with recruiting activities, career fair participation, employee communications, office organization, and daily administrative tasks. The Administrative Assistant serves as a key point of contact for employees, visitors, and vendors while helping ensure efficient office operations.

The ideal candidate is organized, professional, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.

Essential Duties and Responsibilities
Human Resources Support
  • Assist with recruiting activities, including candidate sourcing, hiring coordination, and interview scheduling.
  • Attend career fairs and employment events to promote the company and assist prospective applicants with the application process.
  • Support onboarding and new hire processes, including preparation of paperwork and employee communications.
  • Maintain confidentiality when handling employee and company information.
Employee Programs & Communications
  • Coordinate and distribute employee communication materials and company program information.
  • Assist with employee recognition programs, including birthday celebrations, service awards, and other company-sponsored initiatives.
  • Respond to employee inquiries regarding company programs, policies, and resources.
  • Maintain adequate inventory of employee forms, printed materials, and program-related supplies.
  • Facilitate communication and information sharing between departments as needed.
Office Administration
  • Maintain office supply inventory and coordinate the ordering of supplies and materials.
  • Provide administrative and organizational support to office leadership and staff.
  • Assist with scheduling, filing, data entry, recordkeeping, and document management.
  • Help ensure the office remains organized, efficient, and well-maintained.
  • Assist with special projects and other administrative duties as assigned.
Front Desk & Clerical Support
  • Serve as the first point of contact for visitors, employees, vendors, and customers.
  • Answer, screen, and direct incoming telephone calls in a professional manner.
  • Receive, sort, and distribute incoming mail, packages, and deliveries.
  • Provide general clerical support to office personnel and departments.
Qualifications
Required Qualifications
  • High school diploma or equivalent.
  • Strong organizational, time management, and multitasking skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite and general office software.
  • Valid driver's license with an acceptable driving record and the ability to maintain insurability under the Company's vehicle insurance policy.
  • Ability to maintain professionalism and confidentiality.
  • Ability to lift, carry, push, and pull up to 50 pounds.
  • Bilingual (English/Spanish) preferred.
Preferred Qualifications
  • Prior administrative, human resources, customer service, or office support experience.


Physical Demands & Work Environment
This position operates primarily in an office environment. The employee must be able to communicate effectively in person, by telephone, and through electronic communications. The role requires the ability to sit, stand, walk, reach, bend, and perform repetitive hand movements associated with computer and office equipment use. The employee may occasionally lift, carry, push, or move office supplies, materials, and equipment weighing up to 50 pounds.
